ONE DEFINED SERVICE. SOMETHING YOU CAN USE.

Property Maintenance Assessment & Action Plan

R2,500 indicative starter fee

For one qualifying property or agreed area, with up to 90 minutes onsite. The fee covers preparation, the agreed visit, a concise digital report and one follow-up call.

You leave with a decision tool.

What was observed. Where it is. What needs attention. What to do next.

Your report is yours to use to plan maintenance and request repair quotations, including from another contractor.

Your written quotation confirms the areas, access, travel arrangements, full price including any applicable VAT, visit date and report date before acceptance. Size limits below guide eligibility; condition and complexity also matter. Larger or more complex instructions receive a tailored quotation.

WHAT YOU RECEIVE

From visible issues to a clear action list.

01

A scoped onsite assessment

A walk-through of the agreed safely accessible areas, guided by your concerns and the property's visible condition.

02

Photographs with context

Relevant findings recorded with locations and descriptions, so you can connect the report to the actual property.

03

Practical priorities

Items needing prompt attention, work to plan over the next 30–90 days and longer-term upkeep. Timing reflects the observations and any need for specialist advice.

04

Recommended next steps

A suggested action and appropriate trade or specialist for each recorded issue. Basic measurements are taken where useful; measured drawings are separate.

05

Your Property Passport & action plan

A concise PDF bringing your property details, scope, photographed findings, priorities, recommendations and access limitations into one usable baseline record.

06

A follow-up conversation

One call of up to 20 minutes to explain the findings and help you choose the next step. Repairs and further investigations remain your decision.

YOUR PROPERTY PASSPORT

A record you can keep and build on.

Know what needs attention, decide what to spend and keep a clear record of what happens next.

Your Property Passport is the organised record within your assessment report. It brings the agreed property details, visible findings and next actions together. You receive an exportable PDF and action register to share with authorised co-owners, managers or contractors.

Property and assessment record

The property, agreed areas, visit date, access limitations and relevant maintenance information supplied. Missing documents and unverified information remain clearly identified.

Findings linked to evidence

Recorded concerns have a reference, location, description and relevant site photographs. Direct observations are distinguished from information reported by the owner and matters requiring investigation.

A practical action register

Recommended next steps, priorities, the proposed responsible person and target dates where appropriate. You can use it to organise the backlog and request better-informed repair quotations.

Continuity when you need it

When further support is commissioned, the same finding references connect later instructions, approvals and completion evidence. You retain the issued records and may use another provider.

The starter assessment establishes the baseline. Later visits, document updates, quotation comparisons and repair coordination are separately agreed services. The Property Passport is a maintenance record; it does not establish statutory compliance, property value or a guarantee of condition.

What does the report look like?

Explore a six-page Studio Ideate demonstration showing a Property Passport, hypothetical findings, a prioritised action plan and the records that can follow under separately commissioned support.

FICTIONAL CUSTOMER DEMONSTRATION

The first four pages show the baseline assessment format. Pages five and six illustrate additional quotation support and a later owner update. Those later services are not automatically included in the R2,500 starter assessment.

CHOOSE THE SCOPE THAT FITS

Residential. Commercial. Industrial.

The starter fee applies to the agreed areas below, subject to normal access and manageable condition. Areas refer to building floor area, not land or erf size. We confirm suitability before you commit.

RESIDENTIAL

One dwelling
up to 200 m²

For homeowners and landlords with several maintenance concerns or a planned repair programme.

  • Accessible rooms, visible finishes, doors and wet areas.
  • A ground-level external walkaround where accessible.
  • Visible roof and gutter observations from safe ground positions.

Include in the area: any garage or outbuilding you want assessed. Multiple dwellings or extensive outbuildings need a tailored scope.

Your value: organise the repair backlog and decide what to commission first.

COMMERCIAL

One business unit
up to 250 m²

For small offices, shops, landlords and business premises with outstanding maintenance.

  • Accessible doors, ceilings, finishes and washrooms.
  • Agreed building areas and visible water-ingress concerns.
  • Relevant external areas where access is included.

Complex premises: restaurants and hospitality spaces may need a smaller scope or tailored fee. Whole buildings and multiple tenancies are quoted separately.

Your value: a clear brief for spending approval, repair quotations and scheduling around operations.

INDUSTRIAL

One defined zone
up to 300 m²

For a focused building-fabric assessment within a warehouse or industrial property.

  • One agreed accessible zone, such as an office or ablution block.
  • Visible wall, ceiling, finish or water-ingress concerns.
  • Recording of issues and recommended specialist referrals.

A focused scope: the starter package does not cover an entire factory or large warehouse. Machinery and specialist systems require separate appointments.

Your value: define a manageable repair instruction for a particular area.

Larger property? Several buildings? A shared-property scheme? We can prepare a tailored assessment proposal. Area, access, condition, travel and reporting requirements determine the scope and fee.

YOUR TIME, RESPECTED

What happens—and when.

01 / BEFORE

Brief & written quotation

A short briefing call, normally 15–20 minutes, to understand your concerns. Share the suburb, approximate floor area, photographs and available repair history. We agree the scope and full price before booking.

02 / ONSITE

Up to 90 minutes

Meet your representative, review the agreed areas and record visible findings. Please arrange access and identify restricted areas in advance. If more work is needed, we discuss a revised scope before charging for it.

03 / AFTER

Report target: 3 working days

We organise the photographs, assess the recorded findings and prepare your PDF action plan. Your accepted quotation confirms the delivery date; complex work may need a different programme.

04 / DISCUSS

One follow-up call

Up to 20 minutes to talk through the report and next steps, at an agreed time after delivery. No obligation to appoint Studio Ideate for repairs or ongoing care.

Travel and attendance, explained upfront.

We are based in Durban and consider enquiries across KZN. The quotation states whether travel to your address is included or separately charged, and the amount. The R2,500 guide is subject to the agreed local route; it does not promise province-wide travel at the same fee.

Any additional distance, tolls, parking, special access, after-hours attendance or return visit is identified and priced where required before acceptance. Onsite assessment time is separate from travel and report preparation.

ARCHITECTURAL THINKING. PRACTICAL DELIVERY EXPERIENCE.

More than a list of defects.

Studio Ideate brings together experience in architecture, construction, project coordination and building reinstatement. We use that perspective to connect visible maintenance concerns with practical next actions.

That means considering how building elements relate, what information a repair contractor needs and when a specialist should investigate before work is commissioned.

Your instruction identifies the assessor and relevant competence. Where a registered professional's opinion or certification is required, we confirm the appropriate appointment, credentials and separate scope.

WHY THE SERVICE ADDS VALUE

Spend with a clearer understanding.

Put the important work first

Separate concerns that need prompt attention from work that can be planned, instead of treating every repair as equally urgent.

Give contractors a clearer brief

Use recorded locations, photographs and recommended actions to explain the work and seek better-informed quotations.

Keep everyone informed

Share one organised record with a co-owner, landlord, manager or authorised decision-maker rather than repeating the same explanation.

Good information can help reduce uncertainty and repeated explanations. Actual repair costs, outcomes and savings depend on the property and work commissioned; they are not guaranteed.

ONGOING PROPERTY CARE

See what changed.
Know what comes next.

For owners with a recurring maintenance workload, ongoing care keeps the agreed property record current through scheduled visits or specifically instructed document updates.

Each agreed reporting cycle identifies completed actions, new concerns, unresolved items, decisions awaiting your approval and the next accepted attendance or review. A remote update is identified as such and does not imply a new site inspection.

Where repair support is included, we record the accepted scope, written approvals and supplied completion evidence. Approved commitments, invoices and payments are tracked separately, using the records provided.

Every proposal defines the visit frequency, person-hours, reporting dates, coordination allowance, travel, full fee and service terms. Materials, specialist trades and extra work require separate approval. There is no automatic subscription.

CHOOSE THE SUPPORT YOU NEED

Three clear ways to work with us.

01 / ESTABLISH THE BASELINE

Assessment & action plan

R2,500 indicative starter fee

For a qualifying property or agreed area: preparation, up to 90 minutes onsite, your baseline PDF Property Passport and action register, plus one follow-up call of up to 20 minutes.

Use the record independently to plan your next steps. Scope, full price, travel and delivery dates are confirmed in writing.

Request an assessment quote
02 / TAKE THE NEXT ACTION

Repair support

Separately scoped and quoted

For owners who need help turning findings into an instruction: clarify repair scope, compare supplied quotations or coordinate agreed work within a defined allowance.

Record your written approval and the completion evidence actually obtained. Contractor charges, investigations, materials and additional attendance are separately identified.

Discuss repair support
03 / KEEP THE RECORD CURRENT

Scheduled Property Care

Tailored periodic fee

For ongoing needs: agreed visits, action register updates, owner reporting and capped coordination. Frequency can suit the property rather than assuming every owner needs a monthly visit.

You receive the agreed updates and exports. The proposal defines the allowance, response arrangements and additional-work approval process.

Request an ongoing care proposal

What an owner update answers

What was attended to? What evidence was received? What remains open? What spending or instruction needs your approval? What is the next agreed action and date?

The service provides organised records and agreed human follow-up. A client portal, automatic reminders, continuous monitoring and guaranteed emergency attendance are not included.

BEFORE YOU DECIDE

Clear answers. Clear expectations.

Is the Property Passport included in the assessment?

Yes. It is the organised property and findings record within your baseline assessment report, supplied with the action register. It is not an extra subscription or a separate charge within the accepted starter scope. Later updates and visits require a separately accepted instruction.

How is my property record kept up to date?

You keep the issued baseline report. If you commission further care, we update the agreed register from the visits and documents included in that instruction and provide the agreed report or export. The reporting frequency, storage and sharing arrangements are confirmed before work starts. The property is not continuously monitored.

Why pay for an assessment instead of asking for a free repair quote?

A repair quote prices a contractor's proposed work. This assessment gives you a standalone record of visible issues, priorities and recommended next actions across the agreed areas. You keep that information and can use it with another contractor.

Is this worthwhile for every property owner?

It is most useful when you have several concerns, recurring problems or a maintenance programme to organise. For one straightforward repair, a normal repair quotation or targeted diagnostic visit may be more appropriate. Tell us the problem and we will suggest a suitable route.

What is outside the starter fee?

Repairs, materials, roof or ceiling-void access, ladders or special access equipment, destructive opening-up, concealed investigations, instrument testing, detailed measured drawings and detailed repair costing are separate. The assessment is a visual maintenance review, not a structural survey, statutory compliance certificate, valuation, insurance approval or formal ten-year maintenance plan.

Do you test electrical, plumbing, fire systems or machinery?

The starter visit records visible concerns within the agreed building scope. It does not test or certify these systems. Qualified specialist investigations, testing and certification require their own scope and fee.

Will you find every defect or diagnose the cause of damp?

A visual visit cannot reveal every concealed or intermittent issue. The report distinguishes observed evidence from suspected causes, records access limitations and identifies further investigation where needed. It does not guarantee that a property is defect-free.

Will the report include repair prices?

The core deliverable is the prioritised action plan. Firm repair prices require a separately agreed quotation, and sometimes additional investigation or measurements. We do not present unsupported figures as a reliable project budget.

What about leased premises or body corporates?

We confirm the authorised representative and agreed areas. Lease responsibilities and ownership boundaries must be checked against the relevant documents; they are not assumed from a visual inspection. Multiple units, common-property portfolios and formal scheme maintenance plans receive tailored proposals.

MAKE THE NEXT STEP SIMPLE

Tell us about your property.

Share the type, area and concerns. We will confirm whether the starter package fits and provide the assessment scope, travel arrangements, full fee and available dates.
